Fitalthy · policy
The privacy policy tells you what we do with your data. This one tells our own people what they are obliged to do about it — published, so that you can check whether we did.
This policy states how Fitalthy (Private) Limited handles personal data in practice: who is accountable, how data is classified, what may be done with it, and what must happen when somebody asks for their rights or something goes wrong.
It binds everybody who works on Fitalthy — employees, contractors, and anybody given access to production data — and it governs every system that touches personal data, including the databases, the document store, the payment integrations and the AI provider that reads document text.
It is published deliberately. An internal-only policy cannot be checked by the people it is supposed to protect. If we fail to follow it, you can point at the clause.
It sits alongside the Privacy Policy, which is the user-facing statement of the same commitments, and Safety, which covers the clinical boundary.
Pakistan has no comprehensive data protection statute in force. The Personal Data Protection Bill 2023 has been approved by the Federal Cabinet and through public consultation, but not yet passed by both houses of Parliament, and the National Commission for Personal Data Protection (NCPDP) is provided for by the draft bill; not yet operating as a supervisory authority. We therefore adopt, voluntarily and in advance of any obligation, the standard below.
The operating rule: one standard, applied to everybody. We do not give a user in Lahore fewer rights than a user in London because the law in one place is not yet written. Where two frameworks disagree, the stricter one governs.
| Principle | What it means in this product |
|---|---|
| Lawfulness and transparency | Every purpose has a stated basis, published in section 4 of the privacy policy. No undisclosed processing exists. |
| Purpose limitation | Data collected to explain a report is used to explain that report and to chart its values. A new purpose requires the register to be updated and, if it involves health data, a DPIA. |
| Data minimisation | We do not ask for a national identity number, a full address, or a photograph of the person. We ask for what the feature needs. |
| Accuracy | A value read from a document is always shown next to the document it came from, so a misread is visible to the user and correctable in one step. |
| Storage limitation | A published retention schedule with a defined trigger for each class. Medical records are deleted when the family says so — not when a payment lapses. |
| Integrity and confidentiality | TLS throughout, documents stored outside the web root, least-privilege access, logged. |
| Accountability | This document, the processing register, the request log and the incident log — retained and produceable. |
Legal position reviewed 26 September 2026, and re-checked quarterly.
Accountability that is not assigned to a named role is accountability nobody has.
| Role | Who | Responsible for |
|---|---|---|
| Accountable owner | Named director of Fitalthy (Private) Limited | Owns this policy. Signs off the processing register, the retention schedule and any new transfer of data outside Pakistan. |
| Data protection contact | dpo@fitalthy.com | Single point of contact for every data subject request, every breach report, and every regulator. Maintains the register of processing and the record of requests. Has authority to stop a processing activity. |
| Clinical safety reviewer | safety@fitalthy.com | Reviews every complaint routed as a medical safety concern within 24 hours, independently of engineering and of support. |
| Engineering | The team building the product | Implements the controls, keeps the clinical boundary enforced in code and covered by tests, and may not introduce a new processing purpose without it being added to the register first. |
| Support | support@fitalthy.com | Files every complaint into the register, and may not close a data rights request — only the data protection contact can. |
Two separations are deliberate. Clinical safety review does not report to the people who build the feature, so a safety concern cannot be closed by its author. And support cannot close a data rights request, so a rights request cannot be quietly filed as "answered".
Classification is not labelling for its own sake: the class determines the control, and the control is what an auditor tests.
| Class | Contains | Controls | Type |
|---|---|---|---|
| Restricted — health | Medical documents, values read from them, self-entered measurements, consultation notes, prescriptions, allergies, chronic conditions. | Explicit consent to collect. Encrypted in transit and stored outside the web root. Never used for training, analytics or marketing. Access logged. Never leaves the service except to a doctor the user booked. | Sensitive |
| Restricted — identity | Name, date of birth, relationship, sex, blood group, phone, email. | Encrypted in transit. Access on a need basis. Never sold or enriched from outside sources. | Personal |
| Confidential — commercial | Payment records, subscription state, doctor payout records. | Retained for the statutory accounting period. No card or wallet credential ever stored. | Personal |
| Internal — operational | Access logs, error traces, security events. | 12-month retention. Pseudonymised where it does not defeat the purpose. | Personal |
| Public | Marketing pages, published policies, doctor directory entries the doctor consented to publish. | No restriction. Doctor listings show only what the doctor agreed to show. | Non-personal / consented |
Prohibited outright, for every class. Selling personal data. Selling or publishing aggregated or de-identified health data. Using records to train any model. Sharing with insurers, employers, pharmaceutical companies or advertisers. Enriching a user's record from any outside source. None of these are decisions a product manager gets to make; changing any of them requires this published policy to change first.
Every processing activity, its basis and its retention is recorded. The user-facing extract is published as sections 3, 4 and 6 of the privacy policy; the full register, including systems and controls, is held by the data protection contact and available to a regulator on request.
Processors currently engaged:
| Processor | Function | Location | Basis |
|---|---|---|---|

| Cloudflare (Workers AI) | Reads a document to produce a plain-language explanation | United States and Cloudflare's network | Contract; no training on your data |
| JazzCash (Jazz / Mobilink Microfinance Bank) | Mobile wallet payments in Pakistan | Pakistan | Contract |
| Easypaisa (Telenor Microfinance Bank) | Mobile wallet payments in Pakistan | Pakistan | Contract |
| Stripe | Card payments outside Pakistan | United States / Ireland | Contract |
| PayPal | Card and wallet payments outside Pakistan | United States | Contract |
| Email delivery provider | Transactional email — sign-in, receipts, complaint acknowledgements | United States | Contract |
Retention schedule:
| Data | Retained | Trigger |
|---|---|---|
| Medical documents and the values read from them | Until you delete them, or 90 days after you delete your household | They are the family's record, not ours. Cancelling a subscription never deletes them. |
| Health measurements you entered yourself | Same as above | Same reason. |
| Account and household details | Life of the account, then 90 days | The 90 days is a grace period for accidental deletion. |
| Consultation records and prescriptions | 10 years from the consultation | Clinical records have their own retention expectations, and a doctor may need to account for their advice. |
| Payment records | As long as tax and accounting law requires, currently 6 years | We do not get to choose this one. |
| Complaints and data rights requests | 3 years from closure | So a pattern of the same failure is visible rather than forgotten. |
| Security and access logs | 12 months | Long enough to investigate a breach, short enough not to be a second copy of your life. |
| Backups | Rolling 35 days | A deletion reaches backups within 35 days, because backups cannot be edited row by row. |
A request is valid however it arrives and whatever words are used. "Delete my father's records" is a valid erasure request and is treated as one.
| Step | What happens |
|---|---|
| Receive | Through the complaints form, any listed inbox, or in the app. A request is valid however it arrives; we do not require a particular form of words or a particular channel. |
| Acknowledge | Within 72 hours, with a reference number and the date by which the request will be answered. The date is computed at intake, not chosen later. |
| Verify | Enough to be sure we are not handing one family's records to somebody else — normally control of the account's email or phone. We ask for the minimum, and never for a copy of an ID document unless the request would otherwise be impossible to verify. |
| Act | Within 30 days. Extended only where the request is genuinely complex, and then only after telling the requester inside the 30 days why and by when. |
| Answer | In writing, in the requester's language, stating exactly what was done. If we refuse any part, we say which part, why, and how to escalate. |
| Record | Request, decision, and date kept for three years, so a pattern of refusals is visible to an auditor rather than buried in an inbox. |
Clocks are set by the system, not by a person. When a request is filed through the complaints form the deadline is computed at intake from the category and written to the record. It cannot be extended by whoever picks the ticket up.
Free of charge, always. We do not charge for a copy of your own records and we do not charge for deleting them.
A breach is any unauthorised access to, loss of, alteration of or disclosure of personal data — including one caused by us.
| When | What must happen |
|---|---|
| 0–1 hour | Contain. Revoke the credential, close the hole, stop the leak. Containment precedes investigation. |
| Within 24 hours | Assess: what data, whose, how many people, what harm is plausible. The data protection contact owns this assessment and can pull in anybody they need. |
| Within 72 hours | Notify the relevant supervisory authority where we are required to — under UK/EU GDPR for affected users there, and under the Pakistani framework once the National Commission for Personal Data Protection (NCPDP) is operating and requires it. |
| Without undue delay | Tell the affected people directly, in plain language: what happened, what data was involved, what we have done, and what they should do. Not a press release; an email that says the thing. |
| Within 30 days | A written post-incident review naming the cause and the fix, retained for three years. |
Reporting one. Anybody — a user, a doctor, a researcher, an employee — can report a suspected breach to dpo@fitalthy.com or through the complaints form, which routes that category straight to the data protection contact on a 24-hour clock.
We will not retaliate against anybody who reports a vulnerability in good faith, and we will not threaten legal action over a report made responsibly.
Some processors operate outside Pakistan, so personal data is transferred abroad. Each transfer must be recorded in the register and covered by a mechanism that binds the recipient to this standard — Standard Contractual Clauses or an equivalent.
A new transfer destination requires the accountable owner's sign-off, a DPIA where health data is involved, and an update to the published processor list before any data moves. Adding a vendor quietly is the control this clause exists to prevent.
A data protection impact assessment must be completed and recorded before anything below is built — not after it ships.
The assessment names the risk, the mitigation and the residual risk, and is signed by the accountable owner. If residual risk to individuals remains high after mitigation, the feature does not ship.
Complaints are filed into one register with a deadline computed at intake. The categories and their promises:
| Category | Answered | Handled by |
|---|---|---|
| Something the app said worried me, or may have caused harm | within 24 hours | Clinical safety reviewer |
| A doctor's conduct, or whether they are really licensed | within 3 days | Doctor verification |
| My personal data — access it, correct it, delete it, or object | within 30 days | Data protection contact |
| I think data has been exposed, or an account is compromised | within 24 hours | Data protection contact |
| Payments, refunds or my subscription | within 5 days | Billing |
| Something in the app is broken | within 5 days | Support |
| Something else | within 5 days | Support |
Overdue complaints are counted, not hidden. The register reports open complaints past their promised date, and that number is reviewed at the cadence in section 11.
